Location and style is the first thing that should be considered when it comes to choosing the perfect venue for your conference or business event. If you have guests coming from numerous locations you need to choose an easily accessible venue that is either central or has excellent transport links and parking facilities to make it easier for the people attending. Make sure that the style of your venue fits your event and your brand; if you have want luxury surroundings then make sure the venue has all the right amenities to make your conference a success and wow your attendees.
Space and Layout
How much space do you need? How many people are you expecting to come? When choosing a venue for your conference think about how much space you will need for the activities, seminars and meetings you want to host. Is the venue easy to navigate and can you host a number of different talks or workshops at the same time? The flow of guests and activities is particularly important to make your conference a success. Check that all the areas of the venue can be used so you can make the most of the space you have. Catering
There’s nothing people love more than great and varied food options (and drink of course). It will be easier for you if the venue offers catering rather than hiring in. If they do then ask to see a sample of the types of things they can serve. Do they have different options available so you can pick the ones best suited to your event style and guests? If they don’t offer on site catering then do they have recommended suppliers that they work with on a regular basis? If the catering is organised then this will make your life a lot easier and you can concentrate on running your event! Logisitics
Finally the logistics! Ask what’s included and what are the packages and services offered by the venue. Talk through budgets and find out what’s included. What technical requirements do you have and does the venue meet them? Is there a good internet connection, do you require microphones or AV equipment, and does the venue provide these? Make sure the venue has experience in running events and they have the staffing and organisation skills to be able to make it a success.
