Whether you’re organising a corporate conference, a creative workshop or a large business event, there are things you will need to consider when it comes to planning it. There are many elements to consider from the location to the catering and the logistics of this can be tricky. It’s important to arm yourself with knowledge through research and weigh up the pros and cons of each venue before deciding on the perfect one for your conference, workshop or business event.
Here at Château Saint Georges we pride ourselves as a dedicated venue for your conference and we put a lot of effort into creating a venue that meets the needs of businesses. So, speaking with experience we give you our top tips and advice on how to choose the perfect venue for your conference or corporate event,
Location and Style
Location and style is the first thing that should be considered when it comes to choosing the perfect venue for your conference or business event. If you have guests coming from numerous locations you need to choose an easily accessible venue that is either central or has excellent transport links and parking facilities to make it easier for the people attending. Make sure that the style of your venue fits your event and your brand; if you have want luxury surroundings then make sure the venue has all the right amenities to make your conference a success and wow your attendees.
Space and Layout
How much space do you need? How many people are you expecting to come? When choosing a venue for your conference think about how much space you will need for the activities, seminars and meetings you want to host. Is the venue easy to navigate and can you host a number of different talks or workshops at the same time? The flow of guests and activities is particularly important to make your conference a success. Check that all the areas of the venue can be used so you can make the most of the space you have. A spacious venue with lots of options and easy navigation is best. At the Château our rooms and reception areas can accommodate groups from 10 to 110 people for your conferences or business events.
You will no doubt be aware of what you require when it comes to the facilities of a venue. When visiting venues try and put yourself in the shoes of your attendees and ask questions. Any venue that is experienced with hosting conferences should give you a tour and talk you through the facilities available. If you require it, is there enough seating, is there ample washroom facilities or accommodation? Do they have areas for team building exercises and spaces for downtime and networking? All of these things need to be taken into consideration when choosing a venue for your conference. Many activities at the Château are available on site or close by to combine work, relaxation and pleasure!
There’s nothing people love more than great and varied food options (and drink of course). It will be easier for you if the venue offers catering rather than hiring in. If they do then ask to see a sample of the types of things they can serve. Do they have different options available so you can pick the ones best suited to your event style and guests? If they don’t offer on site catering then do they have recommended suppliers that they work with on a regular basis? If the catering is organised then this will make your life a lot easier and you can concentrate on running your event! We offer a full on site service at the Château and work with recommended suppliers for any special requirements you may have.
Finally the logistics! Ask what’s included and what are the packages and services offered by the venue. Talk through budgets and find out what’s included. What technical requirements do you have and does the venue meet them? Is there a good internet connection, do you require microphones or AV equipment, and does the venue provide these? Make sure the venue has experience in running events and they have the staffing and organisation skills to be able to make it a success.
